POSITION PURPOSE:
The Executive Assistant (EA) provides administrative support to both the Executive Director (ED) and Artistic Director (AD), helping to manage day-to-day operations, coordinate internal and external communications, and ensure smooth scheduling and preparation for key meetings. This role is essential in fostering positive, collaborative relationships between A.C.T. leadership and a wide range of stakeholders including artists, trustees, donors, and staff. The EA also serves as the primary liaison to the Board of Trustees, supporting scheduling, materials preparation, and governance documentation. The position is ideal for someone who is highly organized, values discretion, enjoys working in a dynamic, mission-driven arts environment, and is committed to A.C.T.+rsquo;s values of inclusion, participation, and transformational learning. As A.C.T. approaches its 60th Anniversary Season, this position will play a key support role in institutional planning and will also assist in the national search for a new Executive Director.

RESPONSIBILITIES: (please note, this list is not exhaustive, but rather a representation of job duties)
Executive + Artistic Director Support
+bull; Manage complex calendars for the ED and AD, scheduling meetings, preparing agendas and materials, and anticipating upcoming needs.
+bull; Draft, proofread, and format written communications including emails, reports, and presentations.
+bull; Organize internal company-wide meetings and manage logistics such as reminders, Zoom setup, and room reservations.
+bull; Coordinate travel and accommodation arrangements; prepare detailed itineraries.
+bull; Track and reconcile expenses and manage monthly credit card reporting.
+bull; Maintain internal reference documents and communication updates.
Board of Trustees Liaison
+bull; Schedule and coordinate meetings of the Board of Trustees and its committees.
+bull; Prepare and distribute agendas, meeting packets, and minutes.
+bull; Maintain Board records, governance documents, and up-to-date contact information using Tessitura CRM.
+bull; Serve as a key contact point for trustees, providing timely updates and logistical support for meetings and events.
+bull; Greet and assist trustees during onsite meetings and engagements.
Project + Event Support
+bull; Assist with artistic processes such as casting, rehearsals, and producing meetings.
+bull; Support fundraising events and donor engagement activities in collaboration with the Development team.
+bull; Participate in strategic planning, institutional research, and long-term organizational initiatives as needed.

QUALIFICATIONS + QUALITIES:

+bull; Bachelor+rsquo;s Degree or equivalent combination of education and work experience.
+bull; 3+ years of executive administrative experience.
+bull; Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail. Belief that no task is too big or too small. Consistent follow-up on varied projects.
+bull; Extremely effective written and verbal communication skills, including the ability to speak with all levels of the organization. Skill in writing, proof-reading and editing to send out error-free communication.
+bull; Excellent relationship builder; able to demonstrate a high level of tact, discretion and diplomacy. Must also demonstrate ability to maintain confidential/sensitive information.
+bull; Ability to work well independently, anticipate needs, take initiative, and creatively solve problems.
+bull; Ability to work well with a diverse population and a variety of work styles. Flexibility and ability to easily adapt to change.
+bull; Strong technology skills; proficient with Microsoft Office suite and Zoom. CRM experience a plus.
+bull; Passion for the arts strongly preferred; but at minimum a curiosity about theater is appreciated. Willingness to work alongside contemporary works of art and performances which present challenging and provocative subject matter.
+bull; Ability to work in person and remotely.
